The Proposal Is Only the Beginning of Venue Evaluation
A venue proposal should begin collaborative validation across spaces, operations, accessibility, costs, risks, alternatives, evidence, and commitments rather than conclude meaningful inquiry.
The best proposal does not close inquiry; it gives every stakeholder a reliable place from which to make the next decision.

The PDF ended where evaluation started
The proposal named rooms, capacities, rates, and dates. Then the planner opened a second document for production, sent a route question to accessibility, asked finance to reconstruct inclusions, and scheduled a visit to understand how the spaces actually connected.
Delivery had been quick. Evaluation had barely begun.
Requirements became relationships
Capacity was only an opening assumption. A real program depended on room shape, sightlines, changeovers, attendee movement, loading, partners, accessibility, and the conditions attached to cost. FTC guidance made supported claims important; WCAG made the digital evaluation path part of access.
The proposal became more useful when each requirement turned into a visible relationship the right specialist could test.
Revision preserved the reason
As the event changed, an updated room or rate could not simply overwrite the earlier choice. Teams needed to know what changed, which dependencies reopened, who approved the new assumption, and whether remote reviewers saw the same evidence.
The site visit then tested a shared understanding instead of rebuilding one from memory.
A decision register also separated unresolved questions from accepted conditions. That distinction mattered commercially: a customer could proceed with a known qualification, but should not discover later that an open assumption had been presented as settled.
