The contract kept the commitment, not the reason
The contract reached operations with the room set and meal timing. The reason a particular corridor mattered remained in the seller's email history.
Contracts preserved important obligations. They rarely carried every preference, concern, exception, and spatial relationship developed through discovery. When context stayed with one person, each transition invited reinterpretation.
Remote sourcing raised the value of continuity
Cvent's March 2022 European report described sourcing activity among more than 500 planners across six markets, with interactive diagrams and virtual property review among important online resources. A prior PCMA practitioner account followed venue teams completing research and contracts without an in-person inspection.
The sources did not measure handoff performance. They showed why evidence used before travel had to survive a seller's vacation, role change, or departure. Otherwise the buyer repeated discovery while the operating team reconstructed the property from attachments.
Purpose explained why the adjacency mattered
Attendance, dates, capacities, and sets were necessary. They did not explain what the event had to accomplish or which compromise the customer would not accept.
Audience needs, emotional goals, accessibility, and program priorities gave the property evidence meaning. The handoff connected those aims with arrival, registration, sessions, meals, production, services, and departure so the next owner understood why one route outweighed another.
Every material question needed an owner
Photographs, diagrams, menus, rates, restrictions, and exceptions each needed a source, date, and connection to the customer's requirement. Approved exceptions remained attached to the affected person, space, condition, and date.
The receiving team could not be expected to discover obligations by excavating email. Every material item needed an owner, collaborators, status, due date, and escalation route—along with internal authority behind any promise made to the customer.
The corridor arrived with the event

Operations still received the contract. Now the corridor arrived with it: which people needed it, what the route protected, and which question remained open. The delivery team could continue the relationship instead of beginning another investigation.
